Job description

This function is responsible for ensuring the best possible workplace experience for Aptitude team members in their locations, whether this is at home or in an office. This includes safe and healthy working practices and ensuring team members have the right equipment for which to work. Their job is to ensure that our team members feel connected to both Aptitude and each other, creating opportunities for connection inside or outside the work environment (e.g community service).

  • Responsible for all office supplies (and supplier management thereof) for items needed both within the office and for those that work from home.

  • Liaise with IT to arrange appropriate equipment for all Aptitude Team Members. Liaise with P&C to arrange occasional gifts and distribute them among Aptituders

  • Supporting the organisation and management of Aptitude events, including those that are arranged by the social committees. And comes up with ideas and implements activities to encourage our hybrid team members to come into our offices.

  • Supporting our Talent Management team with the running of any wellbeing programmes for team members, in line with our wellbeing philosophy.

  • Supporting with our internal communications function, ensuring that all communication channels held within the office are up to date and maintained, including preparation of required materials, decks and vouchers

  • Working with others to ensure the proper management and care of Aptitude visitors, including Board and SLT visits.

  • Collaborate with couriers and post office to manage deliveries

  • Responsible for ensuring the proper cleaning management of our office locations, including management of cleaning contracts.

  • New office - administration & reception coordination

  • Administration of hybrid workplace time tracking and office attendance

  • Cooperation with P&C team on some admin tasks (e.g. licence management)

  • Cooperation with Health& Safety function to provide ergonomic, friendly workplace

  • Coordinating workplace experience related topics for London office location

Please be aware we can offer you 12-months contract, with the possibility to prolongate. 

Job requirements

The ideal candidate will have the following skills & experience:

  • Graduate or 1-2 years of similar experience

  • Additional graphic programs will be an asset

  • Previous experience in event organisation (e.g. in student organisation) will be an asset

  • MS Excel proficiency

  • English B2/ C1

  • Good communication skills

  • Good organizational skills
